The Six Steps to an EHR
for Your Office
In Peer's experience the process of EHR
implementation involves six discrete steps:
Step 1. Thoughtful and informed decision to implement
Your EHR deployment faces a high probability of failure or delay without
support from all stakeholders. Once stakeholders agree to support the implementation and agree with
the rational for doing so an EHR Task Force should be formed to
facilitate vendor selection.
Step 2. Vendor selection
The Vendor Selection process is often the longest and most painful step
in the EHR deployment process. Peer recommends that offices
consult other, similar offices who use EHR systems, and limit their
vendor selection process to three vendors. Peer recommends
preparing a standard set of questions or request for proposal to better
judge the application on product merits and fit with
the practice.
3. Implementation planning
With a vendor selected the implementation planning step can begin.
Typically the vendor takes a leading role in implementation planning,
giving the office and their IT staff tasks to perform and identifying
critical dates and milestones.
4. Infrastructure deployment
Most medical offices lack the network, server, PC, and peripheral
infrastructure necessary to support an EHR. New systems must be
purchased and installed prior to EHR installation.
5 EHR Application deployment
Once computing resources are in place the EHR vendor installs and
deploys the application. In this phase existing patient
demographics are moved to the new system and charts are scanned into the
system if necessary. Any interfaces with labs or medical equipment
are handled during this step.
6. Training
With the system in place users are trained prior to "go live" with the
new system. Training is usually provided by the vendor.
Post implementation the office will need to develop HIPAA policies to
govern management and protection of the electronic health information
they now house. Further, the office may wish to refine business
processes and develop custom forms and reports
within the EHR to get the most value from the system.
